Basic financial records
Bank statements for the full financial year across every account, the general ledger or accounting software export, and a trial balance are the foundation. If you use accounting software, giving the auditor direct access or a clean export saves significant back and forth compared to sharing scattered spreadsheets.
Sales and purchase documentation
All sales invoices and purchase bills for the year, organized chronologically or by month, along with any credit or debit notes issued. If you are GST registered, having your GSTR 1, GSTR 3B, and GSTR 2B for the full year ready allows the auditor to reconcile revenue and input credit against your books quickly rather than requesting it midway through fieldwork.
Payroll and statutory compliance records
Salary registers, TDS deducted on salaries and payments to vendors, along with proof of TDS deposited and returns filed, PF and ESI records if applicable, and Professional Tax payment records. Auditors specifically check whether statutory dues were deducted and deposited on time, so having this organized avoids repeated follow up requests.
Fixed assets and loans
A fixed asset register showing additions and disposals during the year, along with supporting invoices for major purchases, and complete details of any loans taken or given, including sanction letters and repayment schedules. Depreciation calculations depend heavily on having accurate fixed asset records from the start.
A practical pre audit checklist
- Bank statements for all accounts, full financial year
- Sales and purchase invoices organized by month
